Privacy Policy - information on the processing of personal data

In accordance with current legislation, this policy describes how we manage the personally identifiable information (hereinafter “PII”) of people who register on the web pages https://airtable.com/shr0vVLN1gkB1x08q and https://airtable.com/shrcZMSk6bAePNENe (hereinafter "registration page") for participation in events organized by the Data Controller. This policy is intended as information pursuant to art. 13 of the European Regulation EU/2016/679 “GDPR” for people who provide PII on the registration page.

Detailed information about PII processing is reported for the services offered, so that a person can give his consent and authorization for processing his PII.

Please note that this policy only concerns the web pages https://airtable.com/shr0vVLN1gkB1x08q or https://airtable.com/shrcZMSk6bAePNENe and no other web pages or websites that may be linked on the registration page, for which you have to read their privacy policy.

Data controllers
Between these companies there is an agreement for the shared and joint organisation of promotional events (hereinafter abbreviated "the event"):

They are joint controllers according to GDPR art. 26, for data processing with the purpose of visitor’s registration, management and organization of the event, photos and audio-video recordings, marketing and promotional purposes, transmission of PII to other partners of the event, they are joint responsible for PII collection, storage, use and access to information.

Agape Srl is also the Data Processor for the management of web pages, visitor’s registration and their PII collection, organization, storage, transmission to third parties.

PII may be processed by third parties, e.g. for IT systems administration, reservations management, any other service required for organization of the event.

Detailed information on data processors may be provided to data subject claiming his rights granted by the Regulation.

Nature of the data processed and purposes of the processing
REGISTRATION OF PARTICIPANTS
To register and participate the event you must fill in the form, the evaluation of the mandatory data is made considering the principles of necessity and proportionality in the treatment as prescribed by Regulation. PII will be kept for the time of achievement of the purposes or for the event management, if not already kept for other purposes that have a different retention time.

PHOTOGRAPHS AND AUDIOVISUAL RECORDINGS
During the event, we take photos and audio-video recordings with participants for informational, advertising and promotional purposes. The registrations will be made during the event by the Data Controller or by third parties on his behalf.

According to the privacy principles, we have evaluated the mandatory consent from data subjects that may appear in photos and audio-video recordings taken during the event: for the staff it would not be possible to avoid recording of people who do not give the consent. Therefore, the registration for the event also requires the mandatory consent from participants about the processing of PII for photographs and audio-video recordings, for publication and broadcasting on the Internet on our websites or in our pages on social media, in printed or digital publications, or even in public or private spaces. Personal data will not be used in contexts that compromise personal dignity.

With the consent, the person is freely giving to the Data Processor all the rights of use his image and his appearance here considered, including the right for playing and broadcasting by any means that combines sound with images; the use of images and voice is to be considered free of charge and no request for compensation can be made by the participants in the recordings.
The provision of PII for registration and participation to the event is optional, however the lack of consent will not complete the registration so that it will not be possible to participate in the event.

PROMOTION AND MARKETING
By registering, the interested party agrees that his personal data will be used for direct marketing purposes by the Data Controllers, for sending by e-mail and telephone or by post, communications with offers and promotions, with content information, advertising and commercial promotion of their products or services.

COMMUNICATION OF DATA TO PARTNER COMPANIES
Many other partner companies also contribute to the organization of the event, which are interested in contacting the participants for commercial promotion purposes. With the specific consent of the interested party, your personal data may be disclosed to the partners in this event selected by the interested party during registration, for sending promotional, advertising and commercial communications on their products and services.

Technical data
The computer systems necessary for running the website acquire, during their normal operation, some data whose transmission is implicit in the use of Internet communication protocols, including: IP addresses, browser and version, operating system, domain name and websites from which access or exit was made, pages visited and the time of access, other parameters relating to the operating system and the user's IT environment. These information are accessible to the Data Controller exclusively in an aggregate and non-identifying manner and will be used for the purposes of technical management of the services provided and anonymous statistical analysis of the traffic generated and the pages visited, will be kept for the time necessary to carry out the specified purposes.

Cookies
The cookies from the website www.airtable.com, where are the registration pages for the event, are managed by the Data Controller who is running the website, Formagrid Inc., which provides all information on the Privacy & Cookie Policy at the link www.airtable.com/privacy.

Treatment and communication
The treatment will be carried out with electronic instruments and paper archives, only from people under the authority of the Controller or also by third parties as our data processors. PII may be transmitted to third parties that provide support services to the management of the event or for the provision of related services, for example for the processing of audio-video recordings material and its publication, to web service providers, or communicated to subjects required by law.
Personal data, collected through the site by filling out the registration form or provided by interested parties through e-mail messages, will not be disclosed in any way.

Data retention
The registration data will be kept, for the purpose of detecting the degree of satisfaction of the participants and monitoring the quality of the services provided, for a period not exceeding six months after the event, upon expiry the data will be deleted from our information systems if not required for other purposes in accordance with art. 5 and 6 of the GDPR. The data of the photographs and audiovisual recordings will be kept for as long as necessary for the purposes of processing, in case of dissemination on the internet they will be published until the eventual cancellation request by the interested party, addressed to the Owner in exercising his rights. The optional data provided for marketing purposes will be kept until the consent is revoked or the request for cancellation by the interested party is requested, they will be deleted within thirty days of the request.

Exercise of the rights of the interested party
Except for the limitations provided for by the Regulation, the data subject may, at any time, exercise the following rights granted by articles 15 to 22 of the GDPR:

access to personal data; rectification; cancellation; limitation of processing; opposition to processing; data portability;
withdrawal of consent, where provided: the withdrawal of consent does not affect the lawfulness of the processing based on the consent given before the withdrawal;
information on the automated process relating to profiling.

You can also file a complaint with the Data Protection Authority, according to the procedures set forth under applicable regulations.
